Nintex Forms - Save or Submit

In Nintex Forms, you can have a "Save" button and also a "Save and Submit" button  Have you ever wondered what the difference is?  Well, this post should shed some light on this.

Firstly, the main difference is really visible when it comes to Task forms.  If you have a Nintex Workflow that assigns a task to a user and you use Nintex Forms to customize the form, the Save button will save the task but will not make the workflow progress.  The Save and Submit button will save the task and the workflow will then process it and continue.

When it comes to regular List Forms, the buttons are actually the same, but you can tweak them to act a little differently.

You need to create a new field on your list.  eg. call it Subimtted and make it a number field with a default value of 0.

You can then have a form where you add another button and configure it to be a Save and Submit button.  There are a few more settings that are needed. 

Open the Advanced section in that buttons settings.  Here you need to connect the button to your "Submitted" field.  If you don't see it there, you'll need to reopen the form so it refreshes it's internal list of known fields.

Finally, change the "Value returned" to 1.  This means that when you click on the Save and Submit button, it will set the submitted field to 1.  Where-as if you click on the Save button, it will leave it at 0.

That's all that is needed from the Forms side.  Now to the workflow side.  Here you will need to configure the workflow to start when and item is created and modified, but based on a Condition.

Hopefully this explains how you can use these types of buttons.  The video above goes into a little more detail.

HI Vadim,

we have the issue (due to timeouts during the time a form is opened for edit) to save a form without closing it.
The form is connected to a simple list with no workflow at the moment.
Do you have an idea? I haven't found a solution in several blogs and the forum of NINTEX.

Hello Vadim,

I want to use just the SAVE functionality. But as I do that, it saves and submits the form too. How can I stop the form submission and just use the save functionality to save the fields onto the list and still keep the form open for the user. Just so that you know, I am using Nintex Live forms.

Hi Vadim,

I am trying to use the same functionality for Reqest Data Task from however it doesn't recognize the response and remains in the same state eventhough I have configured the button as "save and submit".

Any idea?

Thanks Vadim -

I was wondering what "Save and Submit"  was for. I am using it to make a custom button "Forward to Engineering" so I can test if submit = 1 in my workflow and then change the status and notify engineering. Working great!  Thanks  Awesome post!

Next question: can this be implemented within Office365?  I can only find checkbox for "Creating a new item will start this workflow" and "Changing an item will start this workflow", but no options for conditional starts.

Hi Gerard,

there's no conditional starts in the O365 at this stage.  So you'll have to have your workflow start and then use a Run If or Conditional Branch to check a condition and terminate the workflow if it's not met.

 Hi Vadim,

Not only would I like the Save button to not launch the workflow, but I would also like it to not validate any of the fields.  I have tried setting the 'causes validation' to 'No' but that doesn't work.

I have made this work before, but it was quite a bit of a work-around.  I was just wondering if you knew of an easy way.

No easy way I'm afraid.  Nintex mobile allows you to save a draft and not submit it yet. 

But from a browser, it will create an item, so you need to have a condition in your workflow launch, that if it's an On Created Event and some field is not set, don't start the workflow.

 

But for the validation, there's no way to just turn it off and on, unless you build something into the Validation rules.

Thanks for your reply, Vadim.

How I have done it previously was set my 'Save and Submit' button as a javascript button which when clicked calls value of "Submitted" to true. It then it programmatically clicks the actual "Save' button which looks for that 'Submitted' value during validation.

Is there a way for a user to click the Save button and just have it create the item but not close the form, so that they can save the data and keep going so if something happens they don't have to restart all over again.

not that I've seen.  I recently passed this type of request to our Product Manager at Nintex and he has put it on the list of things to investigate for a future release.

Dears,

 

I'm a new customer of Nintex forms :(, so please forgive me if teh question is silly :(.

When i customize task edit form using Nintex forms, when clicked on Ok it redirects to Workflow Tasks list, i need it to redirect to a custom aspx page that i create.

Is it possible to save the nintex form inside a folder depending on some field on the form?

I have a ORG field on the form and I have a folder for each ORG and I want to save the form at the folder selected by ORG.
